Inbound Lead Capture and Sales Automation

A new Toronto-based coliving community needed to automate the acquisition, qualification and registration of new members.

Ensuring 90% occupancy in a member-based housing network requires a continuous flow of new leads, each ready to find a new place to live and who understands the difference between coliving and renting. 

We automated an end-to-end process for lead capture, scoring, qualification, background check and payment of new member deposits.

Competing with the rental market, some of the best lead sources for coliving come from ads posted on listing sites, Facebook and Instagram. Because the 20+ listing sites did not integrate directly with the client’s HubSpot CRM, we used Zapier to automatically move these ad leads (sent to a dedicated Gmail account) into HubSpot. We then use the CRM to send automated follow up emails within minutes of the initial inquiry. In those emails explainer videos powered by Vidyard provided education about the coliving advantage. Leads interested in moving forward with registration were automatically sent an application we scored for their readiness to move into the community. For “move-ready” leads we automated their background checked using Certn. Candidates that “passed” the check were then provided with opportunity to complete their registration and make their deposit payment.

For this small coliving startup inbound automation had big results.

By tracking ad leads into HubSpot were able to reduce advertising costs to just the seven listing sites driving 80% of the leads making it to the member application form stage. Further, the  automated processes scored and triaged over 500 leads in the first month, representing a 600% increase over the previous months manual efforts to complete those activities.

Customer and Investor Messaging Assistance

The founder of new Canadian Fintech needed help creating the sales & marketing materials to support sales and investor conversations.

The client, a third time founder, has a fairly extensive network of investors and potential customers. Generating interest in platform and the business story at face-to-face meetings has note been the challenge. Following up on those conversations with requested documents, decks and paperwork was – especially while trying to move the business forward.

We helped the founder to iterate their business messaging while creating a library of sales and investor documents for the team.

To help the client stay on top of the messaging we implemented a free version of HubSpot CRM for the business, incorporating open tracking into email signatures and the website. We used the hyperlinking capabilities of the Google Drive suite of tools to template the presentations and documents.  By opening up documents to commenting by “friendly” customer and partner teams, we were able to quickly refine messaging and ensure it was communicating the platform value most effectively.

 

Having materials available to follow up instantly with interested customers and investors has helped the client complete a Seed capital raise of $500K and execute agreements with a number of customers averaging over $60K per deal.
